  Guidelines and Rules for Preparing and Submitting an Abstract


1.

DEADLINES FOR SUBMISSIONS AND REVIEW

31st December 2008
– An abstract and completed abstract application form must be received by the Conference Secretariat by this date. Papers which comply with the Abstract Guidelines and which are relevant to the Conference will be accepted by the Conference Secretariat for review by the Programme Committee.

ABSTRACT GUIDELINES AND FORMAT
  • Abstract must be typed in English


  • Abstract must not be more than 250 words


  • Abstract title should be less than 10 words


  • Abstract must be submitted on a 3.5” IBM compatible disk saved as a Microsoft word file, unless submitted electronically


  • The following must appear:
    • Title of Abstract (In bold and capital)
    • Author(s) of Abstract (italics)
    • 5 key words from your Abstract
    • The topic of your Abstract
    • Text of abstract (250 words or less)
    • Font type – Times New Roman size 12 or larger. Margins 3 cm. 1.5 line spacing, justified


  • Please ensure that all authors have reviewed the abstract


  • Please indicate if a co-author would be making the presentation on the abstract application form


  • No revisions or corrections can be made to the abstract after submission

VIDEO PRESENTATION FORMAT
  • All author (s) and co-author(s) must be identified at the beginning of the video to ensure appropriate recognition


  • Videos must be of high technical quality no longer than 10 minutes in duration


  • Videos must be in VHS PAL format


  • 2 copies of the Video must be submitted with the Abstract application form to the Conference Secretariat


  • Videos are to be marked “Conference Material Only”


  • Videos not reaching projection standard will be returned to the author during the review period

POSTER PRESENTATION FORMAT
  • Poster authors will be required to make a brief 5 minute presentation of their poster, with 5 minutes for questions


  • Presenters are requested to stand with their poster after presentation to answer any further questions from the audience


  • Posters are required to be AO size (84cm wide x 119 cm high) (33” wide x 46’ high)

SUBMISSION GUIDELINES
  • Authors are highly encouraged to submit your abstract online through the website

  • You may also submit to the Conference Secretariat via mail
  • .
    Please submit hard copies of your abstract, fully completed application form and their soft copies in a 3.5” IBM compatible disk saved as a Microsoft word file or rich text format. Zipped disks would not be accepted.

ABSTRACT REVIEW PROCESS
  • You will receive a confirmation that your Abstract has been received


  • Abstracts will be reviewed by a select group of peers who specializes in the topics listed


  • The Review Committee reserves the right to edit abstracts if necessary, for clarity, grammar or good usage


  • The Review Committee reserves the right to specify how the presentation is to be made


  • Authors will be notified by 28 February 2009 if their abstracts have been accepted for presentation


  • If your abstract is accepted, further instructions on the submission of your full paper and your presentation materials would be sent to you


7.


MULTIPLE PAPERS


Individuals will be able to present a maximum of two presentations at the Conference.



8.


SCHEDULING


As soon as the Conference Programme is drawn, authors would be notified of their session times. The information would also be available on the web.



9.


SPEAKER'S POLICY


Speakers are requested to be sensitive to ethnic, cultural, religious and gender diversity. All speakers and presenters must be registered delegate of the Conference.



10.


SPEAKER'S WITHDRAWAL POLICY


Any author who is not able to make the presentation must inform the Conference Secretariat within two (2) weeks of receiving the offer to present.
